London based studio OK-RM are looking to recruit a Studio Manager. This is a key role within the team in which the successful applicant will oversee day-to-day coordination of the studio as well as assisting with project management, financial admin and the operation of the studio’s publishing imprint InOtherWords.

Studio Management
– Day to day maintenance of studio environment
– Ordering supplies and equipment
– Managing press opportunities, talks and lectures
– HR administration (holiday requests, payroll adjustments, employee onboarding, scheduling reviews, organising staff socials)

Project Management
– Assisting Directors with new commissions and enquiries
– Scheduling meetings, appointments and booking travel
– Plan weekly studio reviews
– Taking minutes from meetings

Financial Administration
– Project set-up (preparing quotes and project forms)
– Negotiating and recording on-going project fees and expenses
– Raising and issuing invoices
– Liaising with accountants on reconciliation, VAT return, payroll etc

Studio Publishing (InOtherWords)
– Writing publishing proposals
– Maintaining website (adding products, adjusting stock/pricing)
– Point of contact for wholesale distribution enquiries and requests
– Processing and packing orders
– Booking shipments and ensuring correct customs documentation
– Ordering packaging materials
– Stock taking and updating inventory
– Raising and issuing invoices
– Coordinating logistics for book fairs

Skills & Experience
– 2 years minimum (within fashion, art, culture, design sectors)
– Good planning, organisational and time management skills
– Ability to work under pressure and within tight deadlines
– Excellent written and verbal communication skills
– Articulate and diplomatic manner
– Proven ability of managing relationships with clients
– Good financial knowledge, understanding of VAT and accounting processes
– Mac OS literate and high proficiency in IT (Excel, Adobe suite and Dropbox)

Negotiable dependent on experience
